Administrative Assistant

Responsibilities

  • Assist in maintaining Project Plans that detail the personnel resources, activities, duration of activities, and deliverables that comprise the production work
  • Update Project Status Reports (internal and external), highlighting significant events including milestone status, major accomplishments, hot issues and objectives for the next reporting period
  • Identify resourcing needs on projects
  • Communication with clients regarding schedules and deadlines as well as fielding questions and feedback
  • Arrange Client Meetings
  • Ensure resources on projects are entering their hours for tracking
  • Generating reports on hours worked by project resources against allotted project hours
  • Assist in project management on multiple projects: small, medium, and large-scale as needed
  • Provide administrative support on marketing efforts related to project work as necessary
  • Assist in managing established project schedules and deadlines on projects
  • Coordinate and book meetings (internal and external)
  • Provide note taking at meetings
  • Travel Arrangements
  • Manage Conference Room Scheduling
  • General administrative support to company and Partners as needed

Qualifications

  • Self-Starter
  • Disciplined and a quick-learner
  • Ability to prioritize and manage multiple tasks and work streams
  • Personal ownership and results oriented
  • Good people skills / Strong verbal and written communication skills
  • Strong project management / administrative skills
  • Good computer skills: Microsoft Word and Excel, with knowledge of Microsoft Project Plan and PowerPoint a plus
  • At least 5 years experience providing administrative experience, with project focused organizational skills and external client-facing skills a plus

Project Manager

Responsibilities

  • Primary client contact working closely with them to implement solutions within mandated timeframes and budgets
  • Manage client expectations and ensure client satisfaction
  • Manage multiple projects: small, medium, and large-scale as needed
  • Provide team leadership and coordination
  • Ensure quality and timeliness of Behavior deliverables, managing project budgets and schedules
  • Create and maintain project plans that detail the personnel resources, activities, duration of activities, and deliverables that comprise the production work
  • Maintain project status reports, highlighting significant events including milestone status, major accomplishments, hot issues and objectives for the next reporting period
  • Maintain project extranets, the primary communication tool between the Behavior team and clients for sharing reference materials, project documents, and presentations

Qualifications

  • Minimum 3 + years Internet or relevant project management experience
  • Proven success delivering projects on time and within budget
  • Self-motivation, discipline, quick-learner, organized
  • Excellent verbal, oral and written communication skills
  • An eye for design with attention to detail
